GUIDE FOR PARTICIPANTS IN THE CONGRESS PROGRAMME

GENERAL INFORMATION

  • The XVIII. World Saxophone Congress is the meeting point of active (performers, professors, exhibitors, etc.) and passive (visitors, audience) participants.
  • Active participation in the XVIII. World Saxophone Congress is open to professionals, students, amateurs, performers of all music styles, from classical to ethnic music...
  • Applications for various modes of presentation are welcome, for performances with the symphonic orchestra, wind orchestra, chamber string orchestra, contemporary music ensemble, soloist and chamber performances, performances of larger ensembles, for lectures, workshops, presentations, etc.
  • The number of programmes for application is not limited, and a separate application form needs to be filled in for every programme.
  • The Artistic Committee of the Congress will review all submitted applications and, within organizational possibilities, define the venue and time where a particular accepted programme will be held.
  • The Congress provides the ensembles for which you can apply to accompany you. These include Zagreb Philharmonic Orchestra, Croatian Radiotelevision Symphony Orchestra, Croatian Army Orchestra, Zagreb Soloists, Cantus
    Ensemble for Contemporary Music and the Wind Orchestra of the Academy of Music. The number of performers that can be accompanied by these ensembles is limited.
  • Considering the limited opportunities for performing with orchestras or ensembles, an alternative programme should be proposed in the application form for such a performance
  • For a performance with an orchestra, the performer shall provide for (bear expenses of) orchestra materials except in special cases according to the Organizer's decision.
  • Expenses of performing rights prescribed by copyright protection service (ZAMP) shall be covered by the Organizer.
  • All events at the Congress will be recorded. The Organizer is entitled to dispose of the recordings as necessary and without limitation and with no compensation paid to the performers.
  • There is a possibility of performing at unconventional venues and stages around the city. If you consider your programme to be appropriate for such performances, please make a note in the application form.
  • The Congress organizer will make contacts with the organizers of cultural and artistic events throughout Croatia and offer them certain programmes. In case of cooperation, all performance expenses (transport, accommodation, food, etc.) shall be covered, except the performing fee! If you agree to such an option, please make a note in the application form.
  • If necessary, the organizer shall try to try to procure an artistic associate, pianist, as well as other musicians. The organizer shall not bear the expenses of such engagement.
  • The organizer shall ensure technical requirements are met within its possibilities (concert pianos, organs, percussion instruments, PA system, projectors, projection screens, etc.). If a particular programme requires special equipment to be rented and/or additional staff to be hired, the Organizer shall propose to the performer, according to the obtained specification, the amount of the financial cost.
  • All Congress participants shall be responsible for taking care of their instruments and equipment. The organizer shall not be responsible for potential damage.
  • Congress participants shall personally secure and bear travel, accommodation and food costs. The webpage of the Congress lists the hotels with special prices for this occasion.
  • Congress participants from countries subject to visa requirements for the Republic of Croatia should make all the necessary arrangements in time. Necessary information is available on the Congress webpage.
  • THE ORGANIZER SHALL NOT PAY ANY FEES TO PROGRAMME PERFORMERS WITHIN THE CONGRESS

REGISTRATION FOR CONGRESS PARTICIPATION AND PROGRAMME APPLICATION

  • Passive participants must register and pay the Congress registration FEE.
  • Registration is done via an online registration form. Via the same form you can reserve accommodation at special prices for Congress participants.
  • Active participants first fill in an application form with their programme proposal.

APPLICATION PROCEDURE FOR PROGRAMME PROPOSAL

01 Fill in THE on-line application form for programme participation on the Congress’ webpage

02 Upon receiving an identification number, the Applicant shall pay EUR 30.00 to the Organizer’s account before 31/10/2017.

03 Within the same deadline, send complete required documentation: payment confirmation, a photograph, performer’s or group’s short biography, a list of information about every participant in the proposed programme, a short note about the programme, a score for a composition accompanied by an orchestra in PDF (if a programme with offered ensembles is proposed) and, if possible, a link to a sample recording in case of a premiere to the following e-mail address: application@zagrebsaxcongress.com.

04After organizer’s reply accepting the programme applied, register online via a prepared form and pay the Congress fee.
Via the same form you can reserve accommodation at special prices for congress participants.

PARTICIPANTS FROM CROATIA PAY KUNA COUNTER VALUE OF THE AMOUNTS SPECIFIIED FOR EACH CATEGORY

PARTICIPANT REGISTRATION:

  • Each participant (passive or active) needs to be registered separately via an online application on the official webpage of the Congress
  • At registration, active participants enter their ID code(s) under which they participate in the programme(s)

PAYMENT OF THE FEE:

  • Each congress participant pays a fee depending on the category to which he/she belongs.
  • Small groups, i.e. chamber ensembles can pay the fee separately (if individuals pay for themselves) or as a group (the amount of the fee multiplied by the number of members)
  • Big groups (fifteen or more members) must pay a joint fee (the amount of individual fee multiplied by the number of members)
  • If an individual takes part in various programmes, he/she pays a single fee, but must specify the ID code for each programme applied for.
  • Costs of bank transfer are not included in the above amounts and they shall be borne by the payer.

Each registered participant gets a pass enabling their access to all events within the Congress (concerts, exhibitions, opening day banquet, welcome bag, programme, T-shirt with the Congress logo, as well as various advertising materials.

PARTICIPATION CANCELLATION

  • In case of cancelling participation by 31/5/2018, full amount that was paid in will be refunded, minus the administrative and bank costs
  • In case of cancellation by 30/6/2018, 50% of the amount paid will be refunded
  • In case of cancellation after 1/7/2018, the amount paid will not be refunded
